Privacy Policy

ColdGuard Pro is a temperature-monitoring service for businesses. This policy explains what personal information we collect, why, and how we protect it, in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).
1. What we collect

We do not collect location data from your phone, contacts, photos, or any personal information beyond the above. We do not use advertising or analytics trackers in the app or portal.
2. How we use it
- To operate the service: sign-in, alerts, escalation, records and reports.
- To support you when you contact us.
- To meet our own legal and accounting obligations.
We do not sell personal information, and we do not use it for marketing to you beyond service communications about your account.
3. Who can see it
Your business controls who has access to its account, sites and records. ColdGuard Pro staff access account data only to provide the service, resolve problems or when you ask us to. We use the following service providers, who process data on our behalf under contract and do not use it for their own purposes:
- Amazon Web Services (Canada, ca-central-1) — hosting, databases, authentication and push-notification delivery. Your data is stored in Canada.
- Twilio — SMS and voice alerts (your mobile number is transmitted to deliver the message).
- SendGrid — email alerts and reports (your email address is transmitted to deliver the message).
- Apple / Google — push-notification delivery to your phone.
Some of these providers operate outside Canada (for example, message delivery networks in the United States). When information leaves Canada it may be subject to the laws of that country.
4. How long we keep it
- Monitoring readings and incident records: retained for the life of your subscription and for at least two years afterwards, because they are your compliance record (Canadian food-safety and pharmacy rules require multi-year retention).
- Staff contact details: for as long as the person has access to the account, then removed.
- Push tokens: removed on sign-out, on loss of access, or after 60 days without the app being opened.
- Activity logs: 90 days.
5. Security
Data is encrypted in transit and at rest. Access is role-based: staff see only the sites they are assigned to. Sensors and gateways use their own cellular connection and never connect to your business network. Sign-in uses individual credentials; we never store your password.
6. Your rights
You may ask to see the personal information we hold about you, correct it, or ask that it be deleted. Because accounts are created by your business's administrator, requests to close an account go through them or directly to us. We respond within 30 days. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
